INTEGRATED WORKING GROUPS
In October, the Operational Readiness team formed the first five
Integrated Working Groups (IWG). These groups are comprised of
subject matter experts from across the hospital, working together
on the significant changes that come with the new Patient Tower,
creating goals and processes for their most efficient use. As the project
progresses, there will be 15 groups in total. The first five groups include:
Alcove Management; Bed Mapping & Bed Management; Medication
Management; Move Planning and Transition Budget.
Alcoves may not be something people may think about when planning
for how to use space, however they are an important part of the hospital
work space for many staff. Alcoves of every shape and size are currently
found in many areas of the hospital’s clinical units and can house
equipment, linen and cleaning supplies. The new hospital design includes
alcove spaces between every two or three patient rooms, bringing
supplies and resources closer to where patient care is provided. The
Alcove Management IWG will bring together clinicians, IPAC and staff to
achieve shared goals on how alcoves will be best utilized, organized and
stocked. Staff workflow and LEAN principles will be core concepts for the
work being done by this group.

PRACTICING TO WORK IN THE
NEW PATIENT TOWER
When our staff moves into the new
tower, there will be many changes
to their work flow, routines and
functions. Operational Readiness
helps departments to plan and
prepare for these changes. This
spring, the Environmental Services
and LEAN team visited the MockUp Rooms to understand the new
layout of patient care rooms and to
complete time trials for cleaning these
rooms. Our Environmental Services
staff knows our current building and
current cleaning protocols so well
and now they will need to translate
that knowledge into the new
spaces. Understanding the cleaning
process in detail and associated
tools needed to deliver our care
commitment in the mock-up spaces
will allow Environmental Services the
opportunity to estimate new routines
for how we plan to operate in the
new tower.
OUR FIRST PATIENT MOVES
Our first two interim clinical moves took place this past February, relocating
departments to prepare for the renovation of our Maternal Child Unit – first moving
3 East to 3 West then from 2 East to 3 East. Redevelopment, Operational Readiness,
ICAT teams, Program Champions, staff, physicians and volunteers came together in
partnership with Health Care Relocations to make both moves smooth and efficient.
The team worked closely to ensure there was detailed planning and preparation, careful
consideration of the needs of our patients and our caregivers and excellent teamwork.
As renovations continue across the hospital, there will be more interim relocations.
