8.0 DESIGNATED CONTACTS For the Let of the Theatre Performance Facilities only: 8.1 Not less than 28 days prior to the commencement of the Let, the Hirer shall nominate two representatives who will act as designated contacts for the Authorised Officer and take responsibility for the effective management of key aspects of the Let as follows: • A “Production Manager” who will take responsibility for all production and technical aspects of the Let, health and safety issues and matters pertaining to the cast and crew. • A “Front of House Co-ordinator” who will take responsibility for all matters pertaining to ticket sales, merchandising, financial arrangements, stewarding and all members of the Hirer’s organisation other than the cast and crew. 8.2 During the course of the Let, the Culture and Leisure Trust reserves the right to issue instructions to, and to receive requests from the Hirer only through these designated contacts. 9.0 PRODUCTION MEETING For the Let of the Theatre Performance Facilities only: 9.1 The Hirer shall arrange for a production meeting to be held with the Authorised Officer at the Theatre at a suitable time not less than 28 days prior to the commencement of the Let. Should the Hirer fail to arrange or attend a production meeting, the Culture and Leisure Trust may, at its sole discretion, cancel the Let. In such circumstances the Hirer will remain fully liable for the fees payable for the Let, regardless of the fact that the Let has been cancelled. The Culture and Leisure Trust will not be responsible for any costs or losses which are incurred by the Hirer as a result of such cancellation. 9.2 The Hirer shall arrange for the production meeting to be attended by his/her designated Production Manager and Front of House Co-ordinator. It will be the responsibility of these parties who attend the production meeting on behalf of the Hirer to communicate fully the points and details agreed at the meeting to all relevant members of the Hirer’s organisation. 9.3 The purpose of the production meeting shall be to reach agreement with the Hirer on matters relating to the Hirer’s use of the Theatre. These will include: • • • • • 10.0 Individuals to be delegated as Production Manager and Front of House Co-ordinator for the Let, who shall be responsible for liaison with the Authorised Officer. Proof that adequate First Aid provision has been made to ensure the safety of all persons who may be involved in the Let, including audience members, participants and other members of the general public Details of scenery and equipment to be brought in Technical requirements Requirements for front of house set up LOSS OF OR DAMAGE TO THE HIRER’S PROPERTY The Culture and Leisure Trust shall not be responsible for any loss or damage, howsoever caused, to the Hirer’s property or the property of any of the Hirer’s audience members, participants or other invited guests. It is understood that all property used or stored in the Theatre by the Hirer shall be so used or stored at the Hirer’s own risk. 12
